To change your email signature in Microsoft Outlook, follow these steps depending on your Outlook version:
For Outlook Desktop (Classic Outlook for Windows)
- Open Outlook.
- Select File > Options.
- In the Outlook Options window, select Mail from the sidebar.
- Click the Signatures... button next to "Create or modify signatures for messages."
- In the Signatures and Stationery window, select the signature you want to edit under Select signature to edit.
- Make your changes in the Edit signature box. You can format text, add images, links, and customize fonts.
- Click Save , then OK to apply changes.
- To set a default signature for new emails and replies/forwards, use the Choose default signature section in the same window.
- Click OK to close all dialogs.
Alternatively, you can access signatures from a new email message by clicking Signature on the Message tab, then selecting Signatures...
For Outlook on the Web or Outlook.com
- Sign in to Outlook on the web.
- Click Settings (gear icon) at the top right.
- Select View all Outlook settings at the bottom.
- Go to Mail > Compose and reply.
- Under Email signature , edit your signature using the formatting tools.
- Choose whether to automatically include the signature on new messages and replies/forwards.
- Click Save to apply changes
Additional Tips
- You can create multiple signatures and choose which one to use when composing an email.
- To manually add a signature to an email, click Signature on the message toolbar and select the desired signature.
- You can use Word to create a formatted signature with tables, images, and then paste it into the signature editor
