To change your email signature in Outlook, follow these steps depending on your Outlook version:
For Outlook on Windows (Classic Outlook)
- Open Outlook and start a new email message.
- On the Message menu, select Signature > Signatures.
- In the Signatures and Stationery window, under Select signature to edit , choose the signature you want to change or click New to create a new one.
- Edit your signature in the Edit signature box. You can format text, add images, links, and more.
- Click Save , then OK to apply changes
For Outlook on the Web (Outlook.com)
- Click the Settings gear icon at the top right.
- Search for or go to Mail > Compose and reply.
- Under Email signature , type or edit your signature using the formatting tools.
- Click Save to update your signature
For Outlook on Mac or Mobile Devices
- On Mac: Go to Outlook > Settings > Signatures , select or create a signature, edit it, then save
- On iPhone/iPad: Open the Outlook app, tap the profile or home icon, go to Settings (gear icon), scroll to Signature , edit the text, and save changes
Alternative via Outlook Options (Windows)
- Go to File > Options > Mail > Signatures.
- Select the signature to edit or create a new one.
- Make changes in the Edit signature box.
- Click Save and then OK
You can also set a default signature for new emails and replies/forwards in these settings. If you want a more complex signature, you can create it in Word and copy-paste it into the signature editor in Outlook
. This process ensures your signature is updated and automatically added to your outgoing emails.
